Group Management Assistant
As Group Management Assistant you will be reporting directly to the CFO and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and CFO. The Group Management Assistant also serves as a liaison towards the Board of Directors and Senior members of the Management Team. This position works in a creative and entrepreneurial environment that is result-driven and business oriented. The Group Management Assistant works independently on projects, from conception to completion, and works under pressure at times to handle a wide variety of activities and handles confidential matters with discretion with a wide degree of creativity and latitude.
In order to succeed in this position, you will work in close collaboration with colleagues working in from Stockholm, Sandviken and Fellbach and Göppingen; Germany. You will also have ongoing dialogue with the executive assistants of the board members in order to plan, coordinate and execute board meetings.

Tasks and responsibilities
Executive Support
- Completes a broad variety of administrative tasks for the CEO and CFO. including managing an extremely active calendar of appointments and completing expense reports. Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's and CFO's time and office.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and CFO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Prioritizes conflicting needs; handles matters proactively, and follows-through on projects to successful completion, often with deadline pressures.
Board Support and Liaison
- Serves as the CEO and CFO administrative liaison to IPCO AB Board of Directors
- Assists board members with travel arrangements, lodging, and meal planning as needed
- Maintains accurate confidential files and data records in Directors Desk
Senior Management Liaison
- Assists in coordinating the agenda of Senior Management Team meetings and off-sites
- Facilitates cross-divisional coordination of travel and outreach plans
Department of the CFO
- Maintain relationships and communication with direct reports and other key stakeholders.
- Assist with important priorities, with focus on planning, project management, communication, and relationships.
- Follow-up with team to ensure a task’s completion
- Assist with Board and Executive Committee meeting presentation materials
Office Management
- Manage all aspects of office services.
- Provide hospitality to all guests and help to create a welcoming environment.
Profile
Experience:
- A minimum of 7 years' experience working as an assistant on an executive level
- Experience of working in a fast paced and ever-changing environment with high demands on quality
- Excellent communication skills in both English and Swedish, both spoken and written
- Experience of managing many points of contact, both internally and externally
- Highly skilled in MS Office – Word, Excel, PowerPoint and Outlook
- A relevant academic degree
