Newsec Infra is looking forward to hiring a driven and service minded CEO Executive Assistant / Office Manager to their new office! As an Executive Assistant/Office Manager at Newsec Infra you will work in a dynamic and fast paced environment where no day is like the other. In this role you will be overall responsible for the Newsec Infra office as well as support the CEO with administration and manage the CEO agenda. In the role you operate as the spider in the web, proactively and efficiently picking up on several ad-hoc matters, liaise with stakeholders on all levels and ensuring a great office vibe and pleasant working environment for Newsec Infra´s employees. You will be responsible for organising and planning meetings and company events. The ideal candidate has a natural ability of being flexible and handle anything that might come their way.
The new Newsec Infra office is located in the center of Stockholm on Kungsgatan 30 (Northern King's Tower). You will report directly to the CEO and work close together with colleagues throughout the organization.
Responsibilities
- Supporting the CEO in the daily work and with administrative activities
- Coordinate and organize material and logistics prior to meetings
- Plan and execute conferences and other types of events
- Handle expenses, invoices, time reporting etc. on a regular basis
- Manage the Newsec Infra office – ensure that the office is running efficiently on a day-to-day basis
- Hosting guests and provide top quality conference services and reception services
- Oversee office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
- Other ad-hoc admin duties
Your background & experience
- A minimum of 5 years experience working as an Assistant on an executive level
- Experience of working in a fast paced and ever-changing environment with high demands on quality
- Excellent communication skills in English, both spoken and written. Swedish is beneficial, but not a requirement
- Highly skilled in MS Office – Word, Excel, PowerPoint and Outlook
- Experience of managing many points of contact, both internally and externally
- A relevant academic degree
