About the role
We are seeking an Assistant to support Oncopeptides Chief Commercial Officer (CCO) in the day-to-day work, which involves efficient administration and coordination across various areas. As the Assistant, you will interact with all staff within the Commercial organization, ensuring efficiency and compliance with applicable rules and regulations. Additionally, you will play a crucial role in coordinating and assisting with projects and events within the Commercial organization.
Responsibilities:
- Assist the CCO in planning, organizing, and prioritizing the daily work
- Proactively handle email and calendar administration and maintenance
- Act as the single point of contact and gatekeeper for the CCO
- Prepare meeting agendas and presentations, as well as maintain meeting minutes
- Arrange travel logistics for the CCO
- Organize and coordinate internal and external meetings, both domestically and internationally
- Manage project activities and assist in event planning within the Commercial organization
- Handle expense reporting for the CCO
- Assist in time reporting process for the CCO
- Administer contracts and agreements within the CCO organization
Who we are looking for
To succeed in the role, you should have minimum 2-3 years of previous experience working as an executive assistant in the pharmaceutical industry, providing valuable support to senior executives.
Proficiency in Office 365 is essential, with a strong command of Outlook and PowerPoint, as well as familiarity with Teams and SharePoint. As the organization operates in a multinational environment, fluency in Swedish, both oral and written, is required, along with excellent English language skills. Knowledge of German is considered a plus.
The successful candidate will possess a solution-oriented mindset, demonstrating the ability to work independently and efficiently. You should thrive in a fast-paced environment, where adaptability and proactivity are key attributes. Effective communication skills are crucial, as the role involves interacting with various stakeholders.
The Assistant will handle sensitive and confidential information, requiring a high level of integrity, discretion, and professionalism. Maintaining ethical standards and compliance with applicable rules, regulations, and standard operating procedures is of utmost importance.
